We handle the billing so you can focus on your recovery. Direct billing is available for most major extended health providers — no paper receipts, no waiting for reimbursement.

HOW IT WORKS

Direct Billing Made Simple.

Direct billing means we submit your insurance claim directly to your provider at the time of your visit. You pay only the balance remaining after your insurer's contribution — typically a small co-payment or nothing at all, depending on your plan and annual limit. There are no receipts to collect, no claim forms to fill out, and no waiting weeks for a reimbursement cheque.

To set up direct billing, simply bring your insurance card to your first visit. We'll need your provider name, your group number, and your certificate/ID number — all found on your benefits card. Our front desk team is experienced with the major Canadian extended health providers and will confirm eligibility before your session begins.

If you have a secondary insurance plan (for example, through your spouse's employer), we can coordinate billing between both plans to maximize your coverage. Again, just bring both cards and we'll handle the rest. Any remaining balance is collected at the end of your visit via credit card, debit, or e-transfer.

COVERAGE DETAILS

Coverage by Discipline.

Extended health coverage varies significantly between plans. The information below reflects typical ranges — your actual benefits depend on your specific policy.

Physiotherapy $400 – $1,000+ No (for most adults) Most plans cover physiotherapy. Initial assessments bill at a higher rate than follow-ups. Some plans require a physician referral for reimbursement — check your policy.
Registered Massage Therapy $300 – $750 No RMT is one of the most commonly covered disciplines. Limits reset annually (typically January 1). Session length affects billing — 60 vs. 90 minutes will draw on your limit differently.
Chiropractic Care $300 – $600 No Chiropractic is covered under most extended health plans. Initial comprehensive exams bill separately from treatment visits. X-rays, if required, may be billed separately.
Acupuncture & TCM $200 – $500 No Coverage varies widely by plan. Coverage may be under "Acupuncture," "R.Ac," or "TCM" depending on your insurer's terminology. Call your insurer to confirm before booking if uncertain.
SELF-PAY & HSA

No Insurance? No Problem.

We welcome self-pay patients and are transparent about our rates upfront. Please contact us for current fee schedules for each discipline and session length. There are no hidden charges — the rate you're quoted is what you pay.

If you have a Health Spending Account (HSA) or Flexible Spending Account (FSA) through your employer, treatments at Apex Physio & Wellness are eligible expenses. We can provide detailed itemized receipts for HSA/FSA submission. Check with your plan administrator to confirm eligible services and any annual limits that apply.

For patients managing ongoing chronic conditions or complex recoveries, we're happy to discuss the cost of a full course of care upfront so there are no surprises. We believe financial clarity is part of good care.

IMPORTANT NOTES

Before Your Visit.

Annual limits reset

Most extended health plans run on a calendar year (January 1 – December 31). If you're approaching your annual limit near the end of the year, consider timing your final visit before December 31 so you can maximize your coverage. New limits typically become available on January 1.

Eligibility must be confirmed before billing

We confirm coverage eligibility in real time before submitting your claim. In rare cases, a direct billing connection may not be available or coverage may have lapsed. In these situations, we'll notify you immediately and provide a detailed receipt for manual submission to your insurer.

Physician referrals

No referral is required to book or receive treatment at Apex Physio & Wellness. However, some insurance plans require a physician's referral for coverage to apply — this is a condition of your insurance plan, not of our clinic. Contact your insurer or check your benefits booklet to confirm before your first visit.

MVA and workplace injury (WSIB)

If your injury occurred in a motor vehicle accident or as a result of a workplace incident, different billing processes apply. Physiotherapy and chiropractic for motor vehicle accident injuries are typically covered through auto insurance under Ontario's accident benefits. For WSIB claims, please notify us at the time of booking so we can ensure the appropriate documentation is in place.
